How to write a polite payment reminder to a client
Most late invoices are not refusals. They are missed emails, a finance team waiting on an approval, or a payment that was scheduled and never ran. A calm first reminder is usually enough.
Keep each message about one invoice, with the number, the amount and the due date, so the client can find it in seconds. Add a payment link if you have one.

What to include, and what to leave out
Include
- The invoice number, amount and the date it was due, stated plainly.
- A payment link or the bank details if you normally send them, so paying takes one step.
- A line that invites the client to tell you if something is wrong with the invoice.
- A "if you've already paid, thank you" line in the early reminders.
Leave out
- Late fees, penalties, legal action or collection threats. This page and the tool do not write those, and they are not legal advice.
- Guilt or sarcasm. A polite email that is easy to forward to a finance team works better.
- Sending reminders without checking your records for a payment first.

Subject: Invoice 114 for the Northside website remains unpaid
Hi Dana, Checking in again on the Northside website. Invoice 114 ($1,200) was due on Sat 3 Oct and remains unpaid. Work is paused until it's settled, and I'll resume as soon as payment arrives. This version mentions pausing work. Keep that line only if it's true and covered by your agreement.
How often to follow up
A pattern many freelancers use. Every business and client differs, so adjust it.
- 01A few days before it is due. An optional heads-up with the invoice attached.
- 02On the due date. A calm reminder with the payment link.
- 03About 3 and 7 days after. The clear version, asking if anything is holding it up.
- 04About 14 days after. The firm but polite version: state what happens next, without threats.
- 05After that, roughly weekly for a short while. Then call, and check your contract before doing anything else.
